Data Usage Policy

This Data Usage Policy explains how VINTrakID uses data submitted, generated, or processed through the VINTrakID Services. This Policy is incorporated by reference into the VINTrakID Terms of Service and is subject to those Terms.

Capitalized terms not defined here have the meanings set forth in the Terms of Service.

1. Scope and Purpose

VINTrakID uses data solely to operate, maintain, and improve the Services, including the generation of informational vehicle equity insights, analytical outputs, alerts, records, and reports.

VINTrakID uses data to:

  • Generate derived, non-authoritative vehicle insights and indicative value ranges
  • Provide tracking, alerts, and record-keeping functionality
  • Support Maintenance Intelligence and recall-related features
  • Maintain platform security, integrity, and performance
  • Comply with legal, regulatory, and contractual obligations

VINTrakID does not use data to provide vehicle appraisals, guarantees, valuations, insurance advice, financial advice, or legal advice.

2. Categories of Data Used

VINTrakID may use the following categories of data in connection with the Services.

a. User-Provided Data

  • Vehicle Identification Numbers (VINs)
  • Vehicle service, repair, maintenance, and ownership records
  • Uploaded documents, images, receipts, or notes
  • Account, contact, and subscription-related information

Users are responsible for the accuracy and completeness of submitted data.

b. System-Generated Data

  • Analytical outputs, equity insights, scores, and indicative value ranges
  • Alerts, notifications, and reports generated through the Services
  • Usage data, logs, and interaction metadata

All system-generated outputs are derived estimates and are informational only.

c. Third-Party Data

  • Vehicle-related data obtained from licensed commercial providers
  • Publicly available recall, safety, and vehicle reference data
  • Market and trend data used in analytical modeling

Third-party data is used subject to applicable licenses and contractual restrictions.

d. ZIP Code Data (Partner Offers)

When you opt in to third-party partner offers, you may voluntarily provide your 5-digit ZIP code. This data element is collected and used as follows:

ZIP code is not required to use VINTrakID's core vehicle equity features. Collection is logged with timestamps for audit and compliance purposes.

3. How Data Is Used

VINTrakID uses data to:

  • Associate vehicles and records with user accounts
  • Generate and display analytical outputs and historical trends
  • Enable alerts, notifications, and reports selected by users
  • Support subscription-based feature access and account permissions
  • Improve the accuracy, reliability, and performance of the Services

Data usage and feature availability may vary based on account type or subscription level.

4. Maintenance Intelligence Data Use

Data used in Maintenance Intelligence features is used solely to provide general, non-authoritative guidance.

As stated in the Terms of Service:

  • Maintenance specifications are derived estimates based on typical industry guidelines
  • Service intervals and how-to content are general and non-vehicle-specific
  • VINTrakID does not reproduce OEM manuals or manufacturer procedures

VINTrakID does not verify maintenance data against manufacturer updates and does not guarantee applicability to any specific vehicle.

5. Aggregation and De-Identification

VINTrakID may aggregate and de-identify data for purposes including:

  • Platform analytics and performance measurement
  • Product development and feature enhancement
  • Market-level trend and benchmarking analysis

Aggregated or de-identified data does not identify individual users or vehicles and may be used internally or externally in compliance with applicable law.

6. Data Sharing and Disclosure

VINTrakID does not sell personal data.

Data may be shared only:

  • With service providers supporting platform operations
  • With third-party data providers as required to deliver functionality
  • When required by law, regulation, or legal process
  • With user-directed partners when the user provides explicit consent

VINTrakID does not share identifiable vehicle or account data with dealerships, insurers, manufacturers, or other commercial parties without user authorization or legal obligation.

7. Data Retention

VINTrakID retains data only for as long as reasonably necessary to:

  • Provide and support the Services
  • Enforce the Terms of Service
  • Comply with legal, regulatory, and contractual requirements
  • Maintain platform security and integrity

Retention periods may vary by data type, account status, and subscription level.

8. User Responsibilities and Risk Allocation

Users acknowledge and agree that:

  • All outputs, scores, estimates, and insights are informational only
  • Data may be incomplete, delayed, or subject to error
  • Outputs may change as data sources or analytical models change
  • Users are solely responsible for decisions made using the Services

VINTrakID is not responsible for outcomes resulting from reliance on platform data.

9. No Ownership Transfer

Users retain ownership of their submitted data.

VINTrakID retains all rights, title, and interest in:

  • The Services
  • Analytical models
  • System-generated outputs
  • Aggregated and de-identified data

Nothing in this Policy transfers ownership of VINTrakID intellectual property or analytical outputs to users.

10. Policy Changes

VINTrakID may update this Data Usage Policy from time to time. Updates will be reflected by a revised effective date. Continued use of the Services constitutes acceptance of the updated Policy.
